Format integration


Format integration (FI) is defined as the process of bringing together all current format-specific MARC values into a unified MARC which is capable of expressing all the "other" natures of an item within a single record. It replaces the earlier "validation" model of MARC tagging with an "appropriateness" model. Thus, rather than restricting use of a particular MARC tag only to those formats for which it has been validated, FI will now allow use of any tag which is appropriate to the piece, no matter its origin. Thus, where previously you had to choose between the maps and serials formats when cataloguing a map serial, or between the formats when cataloguing a book containing a diskette, now you can express both facets of the item being catalogued within machine-accessible fields. This capability will be particularly important for patrons searching the OPAC for materials in a particular format where the structure of the MARC leader and fixed fields, including the 007, prevented this before. On the other hand, since most cataloguing involves materials only in a single format, you may notice little out of the ordinary in the new regimen.

In discussions between the Library of Congress, the utilities, and concerned librarians during the ALA annual conference in 1993, a decision was made to postpone implementation of format integration and to split the process between variable field changes, to be brought in late in 1994, and fixed field changes, scheduled now for 1995. Postponement was primarily due to the difficulty systems staff saw in configuring their local systems to accept and index the new 006 and some of the changes within 007-008. SIRSI expects to be fully ready for the proposed changes as they are scheduled. National MARC format documentation incorporating FI is expected to be released over the next year with Memorial following suit, updating its own format documentation prior to implementing Unicorn.

Print monograph changes: single media

For those of you dealing primarily with print monograph cataloguing, format integration will not affect you to the same degree to which it will affect, for example, audio-visual, computer file, or serials cataloguers. The main thing you will notice is the validation of MARC fields previously reserved for other formats. Probably the first you will encounter will be the 246 from the serials format which, in some cases, will substitute for the 740. You may also start noticing the enlarged 037, a field which has taken on all of the duties of the old 265 and 350 in addition to what it included before. Here are examples of changes which will affect single-media books cataloguing.

Print monograph changes: mixed media

For mixed media, changes will again involve fields newly validated from other formats, as well as the new fixed field 006. Examples of mixed media monographs include books, microforms, maps, or charts with accompanying computer disks, guidebooks, maps, microfiche, sound cassettes, or slides. Also included in this category are atlases, which are really books of maps. Where more than one medium is used, the cataloguer chooses one format as primary for coding of the leader and 008, and then uses 006/007 to express elements of the secondary format. In the examples below, bold is used to show changes occasioned by FI.

Seriality

Before format integration, the cataloguer was forced to choose a primary format and lose any secondary attributes of the material. Thus one could choose to catalogue a map serial or a computer file serial as either a serial or as a map/computer file, but not as both. If a serial sometimes showed an ISBN, the format could not handle it. This is no longer true. The addition of fixed field 006 enables map or computer file records to express seriality or for serial records to express "mapness" or "fileness". In fact it is possible to combine more than two formats by simply adding additional 006s. Thus a serial map appearing on CD-ROM could combine elements of three formats.

Format integration: added title entries

With the arrival of the new edition of USMARC format for bibliographic data, added title tracing procedures under format integration have become somewhat clearer. Anyone who seeks examples of proper use of the 246 and any of the 7xx headings may consult the two volume USMARC set on the reference consulting shelves within the Cataloguing Division. Under format integration a distinction is made between variant forms of the title itself, which is reflected in the 246, and analytic (other distinct works incorporated within the volume), or related titles (titles from earlier editions, companion volumes, etc.), which are stored in 730, 740, or one of the linking entry fields (76x- 78x). I will deal with each of these in turn below.

Use 730 for analytic or related work titles (see preface above for short definitions of these) when a uniform title entry has been established either locally or within one of the national authority files. If you cannot verify that a uniform title has been created for a work, then use the Uncontrolled related/analytical title field (740) instead.

740 Added Entry--Uncontrolled Related/Analytical Title

Use for uncontrolled related or analytical titles, where the cataloguer has not taken the time to check the authority file or where the uniform title has not yet been established. Examples of these include titles from contents notes or from the 245 (where multiple works are mentioned, either with a collective title or without).

76x-78x Linking entry fields

Although originally designed to describe relationships between serials and linked titles, a number of the 77x fields could prove useful in monograph cataloguing. These are listed below for your information only. If you feel that the work in hand might merit use of one of these, consult USMARC format for bibliographic data.

     770  Supplement/Special Issue Entry- Used on the parent
          record, contains information concerning supplements or
          special issues associated with the target item but
          catalogued as separate records.  Display constant: Has

772 Parent Record Entry- Used on the child record, contains information concerning the related parent record when the target item is a single issue, supplement or special issue of the parent item. Display constant: Supplement to:

Information Services considers the display of this field to be more problematic for staff and patrons than the current method, so we will continue to use 700-740 rather than this field. 776 Additional Physical Form Entry- This is used where the item is available in multiple physical forms (e.g. on microfilm), to describe the other forms. Normally we will not go to the trouble of researching this information. Display constant: Available in other form:
